Seeking a Manufacturing Administrator for an excellent team in the Hollywood, FL area who will participate in and supervise all activities that maintain a functioning Manufacturing and Production Office environment.  The MA is responsible for the coordination and support of all activities performed by Business Development, Sales, Finance, HR, Engineering, CADD Services, Project Management, Manufacturing, Production, and Shipping/Receiving. 


The MA will be responsible for local data entry and will work closely with the leaders of all of the previously mentioned departments to ensure effective communication with internal/external customers, communication with internal/external delivery resources to facilitate on-time/correct location deliveries in the pursuit of total customer satisfaction. 


Responsibilities include:

  • Monitor all incoming customer inquiries (Phone, Email, Website) and route as needed
  • Monitor office stock closet levels and reorder as needed
  • Filing reports manually and electronically as required
  • Attend meetings as required and provide weekly Operations Review minutes for team
  • Coordinate all regulatory requirements
  • Maintain Compliance Reporting (Micrometer/Elcometer Data)
  • Perform Order Entry for Operations and create Sales Orders
  • Perform data transfer from CAM summary to Excel Quote Templates
  • Perform ERP/CRM Data Entry including local PO s 
  • Daily Data Entry of Timesheets
  • Maintain the CAD Services Dashboard
  • Perform Data Entry Shopping Documents and Fabrication Releases
  • Scheduling Activities related to Order Fulfilment, Packing, and Shipping
  • Ensures that signed shipping documents are received from customers and recorded in ERP/CRM system
  • Sets and conveys delivery routes for internal delivery resources
  • Reviews invoices received from delivery vendors to ensure accuracy

  • Minimum experience 7 years within a High Paced Business Environment
  • Exceptional communication skills at all levels both internal and external
  • Skilled working with Microsoft Office (Excel/Word/Outlook)
  • Must have Advanced Excel skills
  • Tying numbers from one document to another document
  • Strong math skills
  • Time management and Organizational skills
  • Familiarity with any Enterprise Resource Planning Systems
  • Filing (Manual & Electronic) skills
  • BA/BS in a related field preferred
  • Bi-Lingual (English/Spanish)
  • Exposure to custom fabrication and/or manufacturing environments not required but a plus
