Documentation Specialist – Logistics & Export Operations

Pay: Starting at $18/hour, with flexibility depending on experience

Job Summary:
A dynamic and fast-paced logistics organization in Medley, FL is seeking an experienced Documentation Specialist to support its international export operations. This role is essential to ensuring the smooth and compliant movement of cargo from pickup through vessel loading. The ideal candidate will have strong documentation skills, an understanding of freight forwarding, and the ability to manage multiple customer and carrier interactions simultaneously.
Duties and Responsibilities:
Obtain and review all required documentation from customers and freight forwarders to ensure timely cargo movement.
Ensure compliance with all applicable export regulations and company policies.
Input documentation into internal systems such as NVOCC Link and update customer and shipment data as needed.
Contact customers to coordinate container pickups and provide inland rate quotations.
Create bookings and manage logistics schedules to support high-quality service and customer satisfaction.
Verify that cargo meets packing and handling requirements before pickup; escalate issues to supervisor if requirements are not met.
Confirm that shipment dimensions, type, and documentation are accurate and consistent.
Maintain detailed written records of any shipment discrepancies.
Schedule and coordinate inland transportation services.
Review and process vendor invoices for supervisor approval.
Research and update unknown cargo data to assign final port of destination using internal systems.
Communicate regularly with customers and carriers (including King Ocean) to ensure shipment accuracy and resolve any issues.
Qualifications:
Bilingual (English/Spanish) required.
Minimum 1–2 years of experience in export documentation or freight forwarding.
Familiarity with logistics documentation systems (NVOCC Link, C-Link, or similar).
Strong organizational and communication skills.
Attention to detail and the ability to manage time-sensitive tasks.
Ability to adapt quickly and manage workload with minimal supervision.

Monday to Friday, 8:30 AM – 5:30 PM
No overtime required
