Job Summary:
As a Customer Service & Counter Sales Rep, you will serve as a critical link between our company and our clients, managing the full cycle of customer support from order intake through delivery. This role requires prior experience in a manufacturing or distribution setting (preferably HVAC or industrial equipment) and the ability to effectively coordinate with internal departments like sales, logistics, and production to ensure a smooth customer experience.
Key Responsibilities:
- Order Management: Accurately enter, confirm, and track customer orders via phone, email, and ERP systems, ensuring prompt fulfillment.
- Customer Support: Respond to inquiries regarding product specs, availability, lead times, and pricing with professionalism and technical understanding.
- Issue Resolution: Address delivery issues, damaged or incorrect shipments, and returns by working collaboratively with sales, warehouse, and production counterparts.
- Product Knowledge: Maintain a solid understanding of HVAC systems and components to provide informed support and guidance to clients.
- Billing & Invoicing: Assist with invoice generation, credit memos, account reconciliation, and follow-up on outstanding payments.
- Shipment Coordination: Liaise with carriers and warehouse personnel to monitor outbound deliveries and provide updates to customers.
- CRM & Documentation: Maintain accurate records of all customer interactions, orders, service issues, and solutions in the CRM system.
Requirements:
- Experience: Minimum 4 years in customer service within a manufacturing or distribution environment (HVAC or technical equipment industries highly preferred).
- Skills: Strong communication, technical aptitude, and problem-solving skills.
- Software Proficiency: Familiarity with ERP systems, Microsoft Office Suite (Excel, Outlook, Word), and CRM platforms.
- Detail-Oriented: Capable of managing complex orders and ensuring documentation accuracy.
- Team Player: Able to coordinate cross-functionally with operations, sales, and production teams.
- Bilingual: English and Spanish
