Administrative Assistant (Hybrid) – Join a High-Impact, Growth-Focused Team


Location: Miami, FL


Schedule: Full-Time | On-Site 3–4 Days Per Week

We’re seeking a dynamic and driven individual to join a thriving international organization as an Administrative Assistant. This role will be integral to maintaining seamless office operations, supporting financial processes, and ensuring internal systems run like clockwork.


Job Responsibilities


The Administrative Assistant will play a vital role in supporting the day-to-day operations of the office. Key responsibilities include:
Entering and updating financial data in accounting and ERP systems such as QuickBooks Online and Desktop, as well as Visco.
Processing bills, invoices, and account reconciliations.
Maintaining organized digital and physical financial records.
Supporting accounts payable, receivable, and collections.
Assisting in preparing financial reports in accordance with GAAP.
Managing calls, correspondence, schedules, travel arrangements, and office supply inventory.
Safeguarding confidential information, including personnel files.
Providing general administrative assistance to senior leadership, including compiling expense reports.


Qualifications


Bilingual fluency in English and intermediate-to-fluent Spanish is preferred.
Strong experience with QuickBooks (both online and desktop versions) is required.
An associate degree with coursework in accounting or finance is required; a bachelor's degree is preferred.
A minimum of three years of experience in bookkeeping or general accounting.
At least one year of clerical or administrative support experience.
Working knowledge of GAAP and technical accounting principles.
Excellent organizational skills and a keen attention to detail.
Proficiency in Microsoft Word, Excel, and Outlook.


Work Environment


This position is based in Miami, Florida. It requires a hybrid work schedule with in-office presence 3 to 4 days per week.
